There is a small planning fee to get started, but here's the good news — 50% of that fee is applied directly toward your trip once you book. Beyond that, there are no additional markups or hidden costs. In fact, because of our relationships with cruise lines, resorts, and tour operators, we can often add extra perks — cabin upgrades, onboard credits, resort amenities, and more — at no additional cost to what you'd pay booking directly. You get more value, more support, and a professional handling every detail.

A hosted trip is a pre-planned group experience organized by Black Diamond Travels — you join a curated itinerary with a built-in community of like-minded travelers. We handle all the logistics, and you simply show up and enjoy the experience. A custom itinerary is built entirely around you — your destination, your dates, your travel style, and your budget. The earlier, the better — especially for group travel and cruises. Here are general guidelines:

Cruises: 6–12 months out, especially for popular sailings, holiday departures, or large groups

International trips: 4–9 months out to allow time for passports, visas, and the best availability

Domestic trips: 2–4 months out is typically sufficient

Last-minute travel: We can sometimes work with shorter timelines — just reach out and we'll let you know what's possible

Starting early gives us the most options, the best pricing, and time to handle the details without rushing.

Cancellation policies vary depending on the supplier — cruise lines, airlines, resorts, and tour operators all have their own rules, and some deposits are non-refundable. This is exactly why travel insurance is so important, and why we recommend purchasing it at or shortly after booking to protect your investment.

If you need to cancel, please note the following:

Black Diamond Travels charges a $75 cancellation fee, in addition to any penalties imposed by the supplier

All cancellations must be submitted in writing using our official cancellation form: Submit Cancellation Request

Our planning fee is non-refundable, as it covers the time and research invested in your trip regardless of whether travel occurs

Once your cancellation form is received, we'll walk you through your options, communicate with suppliers on your behalf, and do everything we can to recover what's recoverable under your booking terms.
